Balanexa (“we”, “our”, or “the Service”) is operated by RASCODEX, located at P-25, Shoaib Bilal Market, Company Bagh Road, Faisalabad, Pakistan. We recognize that financial records and accounting transactions are among your business's most sensitive assets. This policy explains how we collect, store, and safeguard your personal and client data.

2. Architecture & Database Isolation

Balanexa employs an isolated multi-tenant architecture. Every client workspace created on our platform is assigned its own dedicated database. Financial records, customer names, chart of accounts, and private document attachments are kept strictly separate from other accounts. We do not aggregate, cross-reference, or sell client financial data.

3. Information We Collect

We collect and process the following categories of information:

• Account Information: Your name, business email address, phone number, and password hash when you register an account at app.balanexa.com.
• Client Workspace Data: Company profiles, client names, transaction records, invoices, supplier bills, chart of accounts, and employee mileage entries that you or your authorized users input.
• Banking Statements & Attachments: Uploaded CSV, TSV, OFX, QIF, and PDF bank statements, as well as receipt images and PDF document evidence. These are saved in private, workspace-scoped storage.
• Technical & Log Information: IP addresses, browser types, session timestamps, and audit records for user actions (such as posting journals, approving bills, or changing period locks) required for security and accounting auditability.

4. How We Use Your Information

We use your information exclusively to:

• Provide, maintain, and secure the Balanexa bookkeeping application and customer workspaces.
• Process subscription billing and workspace lifecycle management.
• Deliver critical transactional communications, such as email verification codes and password reset links.
• Maintain verifiable audit logs required by professional accounting standards.
• Respond to your technical support inquiries and assisted migration requests.

5. Data Ownership & Portability

You own your data. RASCODEX claims no intellectual property or ownership rights over the financial records, invoices, bills, or attachments you upload to Balanexa. You may export your financial statements, general ledgers, contact directories, and report datasets at any time in standard CSV or PDF formats.

6. Security Measures

We employ multi-layered technical and organizational security controls:

• All web communications between your browser and our servers are encrypted using modern Transport Layer Security (TLS 1.2+ / HTTPS).
• Client attachments and evidence files are kept in private server directories inaccessible via direct public URLs.
• Sensitive session tokens use HTTP-only, secure cookies with strict domain scoping.
• Regular automated backups are created to prevent data loss due to hardware failures.

7. Third-Party Services

To deliver the Service, we utilize select infrastructure providers:

• Cloudflare Turnstile: Used on public forms to prevent automated spam and abuse with privacy-preserving challenge verification. Cloudflare's privacy policy applies to the security check.
• ExchangeRate-API: When daily currency feeds are enabled, exchange rate requests query currency codes without transmitting customer transaction data.
• Transactional Email: SMTP gateways are used strictly to deliver verification codes, password resets, and user-initiated email notifications.

8. Data Retention & Deletion

We retain your workspace databases and records for the duration of your active subscription. If you cancel your subscription or request account closure, we retain your data for a grace period of 30 days to permit full export, after which your tenant database and private file storage are permanently purged from active servers.
