Frequently asked questions

Everything you need to know about Balanexa's architecture, security, bank reconciliation, and multi-client workflows.

General & Practice Architecture

Balanexa is a modern cloud bookkeeping and accounting software platform engineered for accounting firms, solo bookkeepers, and businesses. Clients access their accounts through a single portal at app.balanexa.com to manage one or multiple client workspaces, each with its own isolated database, double-entry ledger, bank reconciliation, and 70+ financial reports.

Unlike traditional software that mixes multiple companies in one shared database table, Balanexa provisions a dedicated MySQL database for each client workspace. Financial transactions, customer contacts, documents, and charts of accounts are physically isolated, eliminating any possibility of accidental cross-tenant data leakage.

Balanexa is developed and operated by RASCODEX, a software engineering firm headquartered in Faisalabad, Pakistan. All core development, database infrastructure, and client onboarding support are provided directly by the RASCODEX team.

Banking & Reconciliation

Live screen-scraping bank feeds frequently break when banks update security, cause duplicate transactions, and require sharing sensitive online banking credentials. Balanexa relies on official statement imports (CSV, TSV, OFX, QIF, and PDF capture) with intelligent duplicate filtering and priority categorization rules. This guarantees complete accounting accuracy and client trust.

Balanexa supports CSV, TSV, OFX, and QIF files up to 2,000 transactions (5MB per file), with customizable date and number format mapping (comma vs period decimal). It also includes receipt and bank statement OCR text extraction for scanned PDF and image statements.

You can match bank lines against existing posted customer receipts and supplier payments, apply automated keyword/amount categorization rules, or split a single deposit across multiple revenue, fee, or expense accounts. Completing a statement locks the reconciliation run with a verified zero difference.

Accounting Integrity & Governance

No. Balanexa enforces immutable accounting. Once an invoice, bill, receipt, or journal is posted to the general ledger, it cannot be edited or deleted. Corrections require a dated linked reversal with a recorded business reason, maintaining complete CPA-grade auditability.

When enabled, independent review requires that every prepared document or journal be submitted by a preparer and approved by a distinct reviewer before it posts to financial statements. The system programmatically blocks the creator, last editor, or submitter from approving their own work.

Firm administrators can lock accounting periods to freeze past dates. Reopening a closed period requires an owner reason and is audited. Balanexa also supports 13th-month adjustment journals — flagged adjustments posted on the final fiscal date for tax audit entries without compromising lock integrity.

Currencies, Tax & Opening Balances

Yes. Balanexa bundles the complete ISO 4217 minor-unit reference with BCMath arbitrary precision (0, 2, 3, and 4 decimal places). You can set manual dated rates or connect daily ExchangeRate-API feeds. Realized exchange gain/loss is calculated and posted automatically upon bill or invoice settlement.

When initializing a new client workspace, you configure the base reporting currency and bookkeeping start date, then upload an opening trial balance CSV. The CSV can include individual outstanding invoices, supplier bills, and customer advances. Review the draft opening journal, post once, and your client books are fully established with zero duplicate postings.

Yes. Transaction lines accept up to five standard rates plus one compound tax. Regular rates apply to net line amounts; compound taxes apply to the net plus standard regular taxes. Tax-inclusive pricing splits components down to base minor units with zero rounding drift.
